From shorthand to front-counter wording

Service advisors aren't technicians, and technicians shouldn't be chased to explain their notes. Workshop Story sits between the two.

The technician types

done 80k service. rear shoes low approx 20% left. LHF CV boot split grease thrown everywhere. DPF ok. windscreen chip drivers side.

›
The customer reads
URGENTLeft front CV bootSplit, with grease thrown out. Repair required. Continued use risks CV joint failure and loss of drive to the wheel.
WORK REQUIREDRear brake shoesApproximately 20% remaining. Replacement will be required. Continued use reduces braking performance and risks damage to the rear drums.
SATISFACTORYDiesel particulate filterChecked and found to be in order.
Only the advisor sees this"The notes do not say whether the CV joint itself is damaged. That decides whether it needs a boot kit or a full shaft. Ask the technician before quoting."
Time check"5 hrs clocked against a guide of 2.2 hrs. Worth asking the technician what held the job up before invoicing."

Four steps. No new invoicing system.

It fits into the way your workshop already runs.

Work that wasn't done today is saved against the invoice number, ready for a call.

Every job leaves a call list

Brake pads the customer put off. A weep you said you'd recheck. They're all there when the workshop goes quiet, with the customer's number and what you told them.

  • Search by customer, rego or invoice number.
  • Filter by date and by what's still to do.
  • Log each call and mark it booked or done.

Straight answers

The things workshop owners ask first.

Does it replace my invoicing program?

No. It writes the wording and tracks the follow-ups. You paste the wording into whatever you invoice with now.

Is the service checklist the manufacturer's logbook?

It's a draft prepared for the vehicle, and it says so on screen. Check it against the logbook before relying on it.

Who can see my customers' details?

Only your workshop's login. The connection is encrypted and your records are backed up every day.

Will it put words in the technician's mouth?

No. It keeps every measurement as written and adds nothing the technician didn't note. If a note is unclear, it tells the advisor privately.

What does it cost?

The first 14 days are free with no card. Pricing is being settled with our first workshops.

What do I need to run it?

A computer or tablet with a web browser. There is nothing to install.

Try it on your next job.
