workshopstory.com · Log in, then press New job. One job takes about two minutes.
Writing up a job
- Enter the car. Type the rego and press Look up rego. A car that has been here before fills itself in, with the customer. Otherwise enter make, model, year and odometer by hand. Add the invoice number and customer.
- Find the service. Press Find the service for this vehicle. Untick anything that wasn't done and add anything extra. Check the list against the logbook. If the car is in for a repair only, skip this and type the job name.
- Add the technician's story. Enter the hours clocked and the technician's notes exactly as written. Measurements matter: "front pads 1mm" is better than "pads low".
- Press Write it up for the customer. Wait about fifteen seconds. Read the yellow box first: it lists anything unclear in the notes, and it is for you only.
- Check and adjust. Change any grading or wording you disagree with, then press Rebuild wording if you changed the boxes.
- Copy and save. Press Copy wording and paste it into your invoice. Then press Save job and follow-ups.
The three gradings
UrgentNeeds attention now. A safety concern, or likely to fail or cause damage soon.
Work requiredNeeds doing, but the vehicle is safe to use in the meantime. Becomes a follow-up call.
SatisfactoryChecked and fine, or repaired during this visit. Nothing to follow up.
Following up
- Open Follow-ups to see every Urgent and Work required item that wasn't done, with the customer's number.
- After each call, add a note and set the status: Called, Booked in, Done or Not going ahead.
- Items with no contact for two weeks are marked so they don't get forgotten.
Good to know
- A red time check means the hours clocked ran well over the guide. It is a prompt to ask, not an accusation.
- The wording never adds a fault or measurement the technician didn't write. If it looks thin, the notes were thin.
- Technicians can have their own login that only lets them enter job notes. Those notes appear on the dashboard under Waiting for write-up.
- Made a mistake? Open the job in Past jobs and press Edit this job.
